Should You Repair or Replace Your Office Photocopier?

When an office photocopier starts playing up, every business owner asks the same question: is it worth fixing, or should we just replace it? There's no one-size-fits-all answer, but a few simple checks will usually make the decision clear. Here's how we'd weigh it up.
When repairing makes sense
A repair is usually the smart choice when:
The machine is otherwise reliable and the fault is a one-off (a worn part, a jam-related issue, a single error).
It's not too old — generally under five to seven years for a quality commercial machine.
The repair cost is a small fraction of what a replacement would cost.
Parts and toner are still readily available for the model.
A good commercial photocopier is built to last and handle high volumes. If yours has served you well and the problem is isolated, fixing it is almost always cheaper than replacing it.
When replacing makes more sense
Lean toward replacement when:
The machine breaks down repeatedly — constant call-outs cost more than a newer machine over time.
Parts are getting hard to source, or the model is discontinued.
Running costs are high — older machines often burn through toner and drums far faster than current models.
Downtime is hurting you. If staff regularly can't print or scan, the hidden cost to your business is bigger than the repair bill.
A simple rule of thumb
If a repair costs more than about half the price of a comparable replacement — and the machine is already several years old — replacement is usually the better long-term call. If it's well under that, repair.

The purchase or repair price is only half the picture. Older photocopiers can quietly cost a fortune in toner, drums and parts. Sometimes a newer or refurbished machine pays for itself just in lower running costs, even before you count the downtime you avoid.

You don't have to choose between an expensive repair and a brand-new machine. A quality refurbished photocopier gives you near-new reliability at a fraction of the price — a great option if your current machine is on its last legs but you're not ready to finance a new one.
