Three reasons come up on the phone, in roughly this order. The old A3 machine has finally given up. The office has outgrown A4 because someone started producing drawings, rosters or fold over booklets. Or a new office is being fitted out and the manager wants one machine that does everything.
An A3 multifunction also prints A4, and it usually has the larger engine, more drawers and better finishing than a small machine, so many offices end up using it for the daily load too. That is a good outcome and it is also the most common reason a machine is sized too small in the first place.



The brands on our floor are Toshiba, Kyocera, Canon, Ricoh and HP, new and second hand. Nobody at a maker steers our advice. The person who recommends a machine also repairs them, so we know which A3 models run for years and which turn into a feed roller job every season.

When people search for an A3 multifunction printer they usually mean the same device as a copier. It prints from the network, copies, and sends scans to an inbox or a shared folder, and in some offices it still faxes. Think of a small computer wrapped around a print engine: it only behaves when its settings suit your network and mail system.
Leave a multifunction half connected and you own a very expensive copier. We set up scan to email, scan to folder, user codes and secure release, then run each one from a real desktop before anyone leaves the building.
Colour on A3 costs more per page than mono, so it is worth thinking about how much of the output is really colour. A lot of offices run an A3 colour multifunction mostly in black and white and use colour for proposals and plans. If that sounds like you, buy colour and set the default to mono.
A drawings office or a warehouse that never needs colour should look at a mono A3. It is simpler to run and cheaper to feed.
This is where good value lives. A3 machines are built tough, and a well looked after one often has years of work left. The questions that matter are the meter reading, what was replaced during reconditioning, whether the finisher and document feeder are included and working, and whether the machine is warranted.

Preparing a refurbished A3 photocopier means a full inspection and service, replacing parts that have worn, a proper test run and a reset for its next office. A structural engineer on the northside who prints sets of drawings on Tuesdays and almost nothing on Wednesday. A busy accounts office near the CBD where the A3 machine is used mostly for A4 spreadsheets, with the odd tabloid sized report during budget season. A school administration block with a booklet finisher, because the newsletter and the term calendar both fold to A4.
Those three want three different machines, even though the paper is the same size. The engineer wants colour accuracy and a gentle path for heavy stock. The accounts office wants a quick two sided feeder and a sturdy stapler. The school wants the finisher. Asking what is actually on the paper is how we get from A3 in general to the one machine in particular.
A3 sheets are awkward to store. They live in a drawer that is only half the size of a ream on its end, or in a bypass tray where they curl in Brisbane's summer air. Keep the A3 ream sealed until the moment it goes in. Store it lying flat, and never park a half used pack open on top of the machine. Curl is the commonest cause of A3 jams we are called to, and it is nearly always a storage habit and not a machine fault.
Tell us how much A3 you really print and we will talk through whether it deserves a drawer of its own. In offices where it is rare, a bypass tray and a bit of care is perfectly fine.
An A3 copier on its stand is heavy and awkward. Before delivery we ask about lifts, steps, doorways, corners and the room itself: a power point within reach, a network point, space on the sides for covers, a floor that takes the weight. The technician who installs it is trained, experienced and certified.
A3 machines work harder, so planned service matters. Feed rollers, the fuser and the transfer belt are the parts that wear first. Servicing A3 copiers from every major brand is part of the week for us, and it happens on your site. Technicians bring the usual spares, and 98% of repairs are finished on the first visit. A fault that comes back is repaired again free. Same day attendance can often be arranged.
If your office prints A4 almost exclusively, an A4 multifunction is cheaper to buy, cheaper to run and takes less room. We will say so. A3 earns its place where plans, big spreadsheets, rosters, menus and booklets are part of the week, or where a shared floor needs a faster engine and bigger drawers to avoid a queue.
Delivery day, the machine goes where you chose and gets levelled. The technician connects it, loads the right drivers onto each computer that needs one, and sets scan destinations with whoever looks after your mail and file server. Staff then print and scan something real while the technician stands there. The first two or three days are when odd little problems appear, like a folder path someone mistyped or a user code nobody remembers, and a phone call to the same team sorts them out.
If the new machine replaces an older A3, we plan the handover so that the old one stays until the new one is proved. Nobody wants a day with no copier.
