You tell us about the machine you have and the one you want. We put a value on the old one, agree it on the phone and quote the replacement. Nobody is booked until the figure is agreed. The value comes off the cost of the new machine, or we pay you for the old one if you would rather keep the two deals apart.

On the day, the replacement arrives and the old machine leaves. Our technician installs the new one, connects it to the network, checks printing and scanning, and the old machine goes out with the data on its drive securely erased.

What moves the value up or down

Make and model weigh most. A current colour A3 multifunction from a major brand keeps more value than a mono machine whose line ended years ago. Age and meter reading follow, since the page count shows how much life remains in the drum, the fuser and the feed parts. Condition is third, and a machine that still has its trays, finisher and feeder will fetch more than a copier that has shed some of them.

Guessing over the phone is not something we do, and a faulty machine will not be described as sound. Where it is worth something only for parts, you hear that. Better a straight answer now than a number that collapses once the truck pulls up.

Leases, and who owns the machine

A trade in only works on a machine you own. Plenty of offices run a copier on a lease and have not opened the agreement in four years. Check it. Under most leases the machine stays the finance company's property until the term ends, so it is not yours to hand over. If the lease is close to ending, talk to the lessor about the end of term options and then ring us. We will say what makes sense, including whether buying it out beats replacing it.

The drive in the old machine

Modern copiers store copies, scans and print jobs on an internal drive, and a machine that leaves untouched takes those documents along. Timing it before the machine dies

The best time to trade a copier is while it still works. A machine that is printing cleanly and being serviced is worth more than one that has stopped. If repairs are getting more frequent, or a lease is nearly over, ring early. If it has already failed, say so, and you will get our honest view of what it is worth for parts or for reconditioning.

More than one machine

Offices upgrading usually have a few things to move on: the main copier, one or two printers, a spare in a cupboard that nobody remembers. Mention all of them on the first call. One valuation and one collection beats three separate jobs, and the combined value can go toward the new machine.

What a trade in does not do

It does not turn an old machine into a fortune. A copier loses value steadily, and one that has done heavy work will be worth less than the owner expects.
